Position Overview
We’re looking for a dependable, detail-oriented virtual administrative assistant to help manage the daily operations of our growing practice. This part-time role involves handling client inquiries, scheduling appointments, organizing digital files, preparing documents, and maintaining records in Simple Practice .
The position is ideal for someone who enjoys administrative work, values confidentiality, and is looking for one steady, long-term position. Healthcare or counseling experience is ideal but not required.
Responsibilities
Manage calls, emails, and client inquiries with professionalism and warmth
Schedule and confirm appointments for multiple therapists
Maintain accurate documentation and data entry in Simple Practice
Prepare and organize digital files and administrative documents
Ensure HIPAA compliance and confidentiality at all times
Assist with other administrative duties as needed
Qualifications
Administrative experience (preferably in healthcare or counseling)
Strong organizational, communication, and time-management skills
Proficiency with Microsoft Office (Word, Excel, Outlook)
Comfortable learning new software (Simple Practice experience a plus)
Reliable, detail-oriented, and self-directed
High school diploma or equivalent; additional training a plus
Schedule
20–25 hours per week to start
Flexible daytime schedule
Opportunity to increase hours as the practice grows
